Create, Edit, and Delete a Workflow Step
How Do I Create a New Workflow?
Workflow is an important part of every app. A Workflow determines what happens to a document once a form is filled out, including what approvals need to occur and any notifications that should be generated.
You can configure a Workflow by navigating to the Workflow Builder from the top right side of the app tool bar.
What steps can be added to a Workflow?
- Approval - approval of a course, program, form, etc.
- Acknowledge- allows a user or role to acknowledge a form's submission
- Notification - a configurable email sent to a selected user
- Branch - proposal routing based off conditions from the form
- Integration - allows you to select from a list of pre-configured integrations if any were created during implementation.
How do I add steps to a Workflow?
- Click on the step you would like to add from the top left side of the Workflow screen.
- Drag and drop the step in the desired location.
- Determine the settings for the step in the configuration panel that pops up on the right side of the screen.
- Save.
How do I edit a step?
- Click anywhere in the box of the step you would like to edit. (The step you are editing will be outlined in dark gray.)
- Edit the step in the configuration panel on the right.
- Click Save to confirm changes.
How do I remove a step?
- Click anywhere in the box of the step you would like to delete. (The step you are deleting will be outlined in dark gray.)
- Click Delete Step in the configuration panel on the right.
Undo/Redo Previous Command
How do I undo a previous command?
It is now possible in the Workflow Builder to easily undo a previous command without having to start over. To undo your previous action, you have 2 options:
- Click the Undo button on the left side of the screen just under the list of workflow steps.
- Use the following shortcuts:
- Windows: control - Z
- Mac: command - Z
How do I redo a previous command?
It is also possible to reverse the effect of your previous Undo command. To redo your previous action, you have 2 options:
- Click the Redo button on the left side of the screen just under the list of workflow steps.
- Use the following shortcuts:
- Windows: control - shift - Z
- Mac: command - shift - Z
Changes to Default Routes
What are Default Routes in a Branch Step?
The purpose of the Branch step is to allow the app administrator to determine a workflow based on how a user responds to a question in the form. For example, depending on how a student answers a question on a Program Change Request form, they may be directed to their advisor or a department chair. Branch steps allow you to configure these routes.
When using the Branch step functionality, you also have the ability to create default routes, meaning if a user's response does not match any of the configured routes, you can predetermine the route the form will take.
How do I create a Default Route?
- Click on the Branch step option from the top left side of the Workflow screen.
- Drag and drop the step in the desired location.
- Determine the settings for the Branch step in the configuration panel that pops up on the right side of the screen.
- Configure the default route from the Default Route section of the configuration panel.
Two options are available from the Default Route dropdown menu:
- This route will run if no match is found below. This option will allow you to configure a specific workflow for scenarios that don't fit the other routes you create. Notice the area in the screenshot below where you can drag and drop additional workflow steps into the Default Route section of the Branch step.
- This route will never run. This option will remove the Default Route from the Branch step entirely and will assume that all scenarios fit into the other routes created in the Route Configuration panel.
Notification Workflow Steps
Who can receive Notification emails?
When creating a Notification Workflow step, you are prompted in the configuration panel to select who should receive a notification. We have added an additional route to this list: An email specified on the form. If you have an email field selected on the form, you can now elect to have the Workflow Notification step email directed to that address.
Workflow Shortcuts
What shortcuts are available in Workflow?
Shortcuts are now available in Workflows, including the ability to undo your last command. Below are some of the common shortcuts:
- Copy/Paste: Copy a step and paste the Workflow step somewhere else in a Workflow. This also works between apps as well! In order to copy a Workflow step from one app to another, open a separate tab or window in the same browser, and you will be able to copy steps between two different apps.
- Updated 3/18/20: Windows
- Click on the Step in the Workflow
- Press control - C
- Then select a different step (or leave that step selected), and press control - V. The workflow step you copied will be pasted directly after the one you selected.
- Updated 3/18/20: Mac
- Click on the Step in the Workflow
- Press command - C
- Then select a different step (or leave that step selected), and press command - V. The workflow step you copied will be pasted directly after the one you selected.
- Updated 3/18/20: Windows
- Undo: Undo the previous command.
- Windows: control - Z
- Mac: command - Z
- Redo: Reverse the effect of the last Undo command.
- Windows: control - shift - Z
- Mac: command - shift - Z
